Migration Agency Users
Managing Agent
The Managing Agent can:
- View all information contained within their Migration Agency
- Run Reports on their Migration Agency
- Edit Migration Agency Profile
- Edit their own profile
- View the list of Visa Templates
- Manage Employees
- Add Employees
- Edit Employee’s Profiles including setting/resetting username and passwords
- Manage Employee’s permissions as to what data they can edit within the Agency.
- Manage Employee’s notifications
- Manage Sponsoring Companies
- Add New Sponsoring Companies
- Edit Sponsoring Company profiles (including Divisions and Representatives)
- Edit Managing Representative and Representative Profiles for Sponsoring Companies including setting/resetting username and password
- Manage Representative Notifications
- Manage Migrants
- Add new Migrants
- Edit Migrant Profiles including setting/resetting username and passwords
- Manage Migrant Notifications
- Manage Cases
- Create new Cases
- Assign Employees to be SUPERVISOR, AGENT or PROCESSOR on any given Case
- Set Migrant permission to Edit/Cant Edit (Default is Edit) on any given case
Managing Agent cannot:
- Participate in conversations within a Case (unless they are assigned as AGENT or PROCESSOR)
- Upload documents to a Case (other than additional documents) unless they are assigned as AGENT or PROCESSOR
- Change status of documents within a case (unless they are assigned as AGENT or PROCESSOR)
- Change Case Status (unless they are assigned as AGENT or PROCESSOR)
Employees
Employees and their permissions to edit/create/delete data are controlled by you, the Managing Agent in the Employees Page. Employees can have specific Roles within a Case (also set by Managing Agent) as described in the Cases section.
General Employee Permissions
Employees can generally only:
- see and edit information within the Cases to which they are assigned by the Managing Agent.
- View list of Visa Templates
- View Agency Profile
- Edit their own profile
However they may be assigned the following additional capabilities by the Managing Agent
- View all Migrant and/or Company information contained within their agency as defined by their Permission level
- Create new Cases if defined by their Permission level
- Add New Sponsoring Companies if defined by their Permission level
- Edit Company profiles (including divisions and representatives) if defined by their Permission level
- Edit Managing Representative Profiles for Sponsoring Companies including, if defined by their Permission level setting/resetting username and password
- Add new Migrants if defined by their Permission level
- Edit Migrant Profiles including setting/resetting username and passwords if defined by their Permission level
- Add Employees if defined by their Permission level
- Edit Employee Profiles including setting/resetting username and passwords if defined by their Permission level
- Manage Employee edit within the Agency if defined by their Permission level
- Manage Employee notifications if defined by their Permission level
Case Permissions
If an Employee is assigned to a Case by the Managing Agent, they can have one of three roles:
AGENT
As AGENT they can:
- View Migrant and Company data associated with that Case
- Edit Case data including uploading documents, communicating with all other parties via the Messaging window
- Change the document status within a case
- Change the Visa status
PROCESSOR
As PROCESSOR they can:
- View Migrant and Company data associated with that Case
- Edit Case data including uploading documents, communicating with other parties (excluding SUPERVISOR) via the Messaging window
- Change the document status within a case (but not to Approved or NA)
SUPERVISOR
As SUPERVISOR they can:
- View Migrant and Company data associated with that Case
- View Case data including documents and communications between all via the Messaging window
- Chat with the AGENT via the Messaging window
- If the SUPERVISOR EDIT permission is enabled, the SUPERVISOR has the same EDIT permissions as the PROCESSOR
Employees can have different Roles on different Cases – for instance an Employee might be SUPERVISOR on one case, AGENT on another case and PROCESSOR on a third case. Regardless of their Roles, Employees cannot:
- See any Migrant or Company data to which they don’t have specific permissions assigned
- See any cases to which they don’t have specific permissions
Sponsoring Company Users
Managing Representative
The Managing Representative can:
- View all information contained within their Sponsoring Company
- Edit Sponsoring Company profile (including Divisions and Representatives)
- Edit their own profile
- Manage Representatives
- Add Representatives
- Edit Representative Profiles including setting/resetting username and passwords
- Manage Representative permissions as to what data they can edit within the Sponsoring Company.
- Manage Migrants sponsored by their Sponsoring Company
- Add new Sponsored Migrants (if Enable Case Creation is set by Managing Agent)
- Edit Sponsored Migrant Profiles including setting/resetting username and passwords (if permitted)
- Manage Cases
- Create new Cases (if Enable Case Creation is set by Managing Agent)
- Assign Representatives to any given Case (gives the Representative read/write permissions on that specific case)
Managing Representative cannot:
- Participate in conversations within a Case (unless they are the CASE REPRESENTATIVE)
- Upload documents to a Case (unless they are the CASE REPRESENTATIVE)
- Change status of documents within a case (unless they are the CASE REPRESENTATIVE)
- Change Case Status
- See Migrant Visa Case details – unless Migrant gives specific permission and the Managing Agent has enabled that function
- See other Sponsoring Companies
Representatives
All other employees of a Migration Agency are “Representatives” and their permissions to edit/create/delete data are controlled by the Managing Representative in the Representatives Page.

- Manage Representative notifications if defined by their permission level
- view list of Visa Templates (Agency using Common Visa Templates)
Representatives cannot:
- See any data to which they don’t have specific permissions assigned
- See any cases to which they don’t have specific permissions – this includes by default Visa Cases for the Sponsored Migrants
- See other Sponsoring Companies
Case Permissions
If a Representative is assigned to a Case by the Managing Representative, they become the CASE REPRESENTATIVE, they can then:
- View Migrant and Company data associated with that Case
- Edit Case data including uploading documents, communicating with other parties via the Messaging window
Migrants
Migrants can:
- View their own Cases
- Edit Case data including uploading documents and communicating with other parties via the Messaging window as long as they have been given permission to edit case data by the Managing Agent
- View their own profile
- Edit their own profile (unless this function is disabled by the Managing Agent)
